Planning Your Wedding Bar at a BYOB Venue in Houston, Texas

Planning your bar is one of those details that can seem simple at first. Then you start making your shopping list and realize there is much more to consider than simply deciding which drinks you want to serve at your wedding. You have to determine how much alcohol to purchase, which mixers and garnishes you will need, how much ice and water to have available, what your bartending service provides, and how everything will be set up and served on your wedding day.
For couples getting married at a BYOB wedding venue, there is a significant amount of flexibility in how you approach your bar. Rather than selecting an alcohol package through the venue, you have the opportunity to purchase the beer, wine, liquor, and specialty ingredients that fit your wedding and your budget. You can keep the selection simple or create a more personalized bar with signature cocktails and drinks that have meaning to you as a couple.
At Circle of Seven Ranch, our BYOB policy gives couples that flexibility while allowing a professional bartending team to handle the actual service. Understanding how the process works before your wedding day can make planning your bar much easier and help you feel confident about what you need to purchase.

What Does it Mean to Have a BYOB Venue?
BYOB stands for “bring your own beverage.” For a wedding, this generally means that the couple purchases the alcohol they would like to serve rather than purchasing alcohol directly through the venue.
One of the biggest advantages of a BYOB wedding is the control it gives you over your bar. You can choose the brands, types of drinks, and overall selection based on what you and your guests actually enjoy.
If margaritas are a favorite, you can build your cocktail menu around tequila. If your family prefers wine, you can put more of your budget toward a quality red and white selection. If beer and a couple of signature cocktails are all you need, there is no reason to purchase a full selection of liquor simply for the sake of having it available.
This flexibility can also make it easier to plan your alcohol budget. Instead of paying for a predetermined package, you can purchase according to your guest count, bar menu, and expected consumption.
The important thing to remember is that BYOB does not mean your guests are expected to serve themselves. Your bartending service will handle the preparation and service of alcoholic beverages throughout the reception, allowing you and your family to enjoy the wedding rather than spending the evening keeping the bar stocked.
Alcohol Requirements at Circle of Seven Ranch
When planning your wedding bar at Circle of Seven Ranch, there are a few venue requirements to keep in mind. These guidelines are designed to keep alcohol service organized, responsible, and safe while still giving you plenty of flexibility when choosing what to serve.
TABC-Certified Bartenders and Alcohol Liability Insurance
All bartenders serving alcohol at Circle of Seven Ranch must be TABC-certified and carry alcohol liability insurance. Most bartending services will have both of these requirements, but it's best to ask if they can provide documentation showing that they meet both requirements before booking them. Taking care of this early will help ensure everything is in place well before your wedding day.
No Straight Shots or Heavy Pours
Our bar service is intended for mixed drinks, beer, and wine rather than straight shots. We also require mixed drinks to follow a 1:1 ratio, meaning the amount of alcohol and mixer should be balanced rather than allowing unusually heavy pours. This helps create a consistent experience for your guests and allows your bartenders to serve drinks responsibly throughout the reception.
Planning for Ice
Circle of Seven Ranch provides two large trough coolers for keeping beer and other beverages cold. We recommend planning for approximately 60 pounds of ice per trough cooler, for a total of 120 pounds of ice for the coolers.
In addition to the ice used in the trough coolers, you will want approximately 40 pounds of clean ice specifically for serving drinks. This ice should be kept separate from the ice used to chill cans and bottles and used by your bartenders for cocktails and other beverages.
Your total recommended ice supply is approximately 160 pounds for the two trough coolers and drink service.
Glass Bottles and Bar Service
For safety reasons, glass bottles cannot be served over the bar at Circle of Seven Ranch, and we ask that they be transferred to plastic cups or canned beverages are welcome, so you can still offer your favorite beers and ready-to-drink options without needing to serve them in glass.
These requirements are simple to plan for and are important details to discuss with your bartender before your wedding. Once you know what your venue requires and what your bartending service provides, creating your shopping list and preparing for your wedding bar becomes much more straightforward.

How to Choose a Wedding Bartender in Houston
On your wedding day, your bartender(s) will typically arrive with enough time to prepare the bar before guests begin arriving. Depending on the service you hire, this may include organizing the alcohol, preparing mixers and garnishes, chilling beverages, setting out disposable cups, and preparing any signature cocktails you have selected.
Once the reception begins and the bar opens, guests can order their drinks just as they would at any other professionally staffed wedding bar. A guest might order a beer, a glass of wine, or one of your signature cocktails, and the bartender handles the preparation and service.
Houston has no shortage of bartending services, but choosing the right one for your wedding involves more than finding someone who knows how to make a good drink. Weddings require bartenders who are comfortable working with larger guest counts, managing busy periods such as cocktail hour, and providing professional service throughout a long event.
Some helpful questions to ask include before booking your bartending service:
How many bartenders do you recommend for our guest count?
Can you help us determine how much alcohol to purchase?
Do you provide mixers and garnishes?
Do you provide cups?
Do you provide ice?
Can you serve signature cocktails?
What bar equipment do you provide?
What do we need to purchase ourselves?
What are your requirements for alcohol service?
How Much Alcohol Do You Need for a Wedding?
Determining how much alcohol to purchase is often one of the trickiest parts of planning a BYOB wedding. There is no single number that works for every wedding because consumption depends on the length of the reception, the guest list, the types of drinks being served, and how many guests will actually be drinking.
A commonly used starting point is approximately one drink per drinking guest per hour. For example, if you have 100 adult guests and plan to have the bar open for five hours, you could begin with an estimate of approximately 500 drinks.
That number is only a starting point. You should consider the habits of your particular guests and the type of bar you are offering. A wedding where most guests prefer beer will require a different shopping list than a wedding centered around cocktails. Likewise, if you know a significant portion of your guests will not drink alcohol, you may not need to plan for every adult guest to consume the same number of drinks.
Your bartending service can also be a valuable resource when creating your shopping list. An experienced wedding bartender will be familiar with typical consumption patterns and can help you adjust your quantities based on your menu and guest count.

How Should You Divide Your Alcohol Between Beer, Wine, and Liquor?
Once you have an estimated number of total drinks, you can begin deciding how those drinks will be divided among the different types of alcohol you plan to serve.
For example, if you estimate approximately 500 total drinks, you might initially divide those into 30 percent beer, 25 percent wine, and 45 percent cocktails. That would equal approximately 150 beers, 125 glasses of wine, and 225 cocktails.
From there, you can convert those servings into the actual number of cans, bottles, and liquor bottles you need to purchase. A standard 750 mL bottle of wine contains approximately five 5-ounce servings, while a standard 750 mL bottle of liquor provides approximately 17 1.5-ounce servings.
These calculations are useful for creating a starting point, but they should not be treated as an exact formula. Your final quantities should reflect your guest list, bar hours, drink menu, and recommendations from your bartender.
It is generally better to have a small amount of unopened alcohol remaining at the end of the evening than to run out of a popular drink during the reception. If you are unsure about whether you need one more bottle of something, having a little extra is usually the safer choice.
What Alcohol Should You Purchase?
A wedding bar does not need to include every type of alcohol available at a liquor store. In fact, keeping your selection focused can make your shopping list much easier and help prevent unnecessary spending.
For beer, two or three options are usually enough for most weddings. You might choose a light lager, a traditional lager or pilsner, and an IPA or other craft option.
A simple wine selection could include one red, one white, and rosé. If you plan to serve sparkling wine for your toast, you will want to account for that separately. Couples who know their guests have strong preferences for wine may choose to offer additional varieties.
Your liquor selection should be based on the cocktails you plan to serve. If your signature cocktails require tequila and vodka, those may be the primary spirits you need. If you are offering a more traditional full bar, you may also want to include rum, gin, whiskey, or bourbon. Depending on your drink menu, you may also need mixers, juices, syrups, garnishes, and other cocktail ingredients.
The goal is to purchase alcohol, mixers, and garnishes that serves a purpose on your menu rather than purchasing a large assortment that may never be used.

Plan for Plenty of Water and Non-Alcoholic Drinks
Alcohol may receive most of the attention when you are designing your wedding bar, but water and non-alcoholic beverages are equally important. This is particularly true for Houston weddings, where warm temperatures can make hydration especially important for guests spending time outdoors.
You may also want to offer additional non-alcoholic options such as lemonade, sweet tea, unsweet tea, soda, sparkling water, juice, coffee, or mocktails. Providing a few thoughtful choices ensures that guests who do not drink alcohol still have something enjoyable to order.
For couples planning a signature cocktail menu, creating a corresponding mocktail can be a particularly nice touch. It gives everyone the opportunity to enjoy a specialty drink without alcohol.
Creating Signature Cocktails for Your Wedding
Signature cocktails are one of the easiest ways to make your wedding bar feel personal. Rather than offering an extensive cocktail menu, many couples choose one or two drinks that reflect their personalities, favorite flavors, wedding season, or even a meaningful memory from their relationship.
A “His and Hers” cocktail menu is a popular option, although there is no requirement for the drinks to follow traditional stereotypes. Your signature cocktails should simply be drinks that you and your guests will enjoy.
A summer Houston wedding might feature a classic margarita, watermelon margarita, or strawberry lemonade cocktail. A fall wedding could incorporate apple cider, cranberry, maple, or bourbon. Spring weddings lend themselves well to fresh berries, citrus, and floral flavors, while winter cocktails can incorporate pomegranate, cranberry, blood orange, or sparkling wine.
Giving your signature drinks names that are meaningful to your relationship can make the menu even more personal. Whether you name them after your pets, your first date, a favorite vacation, or simply an inside joke between the two of you, these small details can make your wedding bar feel distinctly yours.

Your Bar Should Reflect Your Wedding
One of the greatest advantages of choosing a BYOB wedding venue is the ability to make your bar fit your wedding rather than choosing from a predetermined package.
The key is to plan your bar early and communicate with your bartending service before you begin purchasing everything. Understand what the venue requires, determine what your bartenders provide, create your drink menu, estimate your quantities, and make sure you have plenty of water and non-alcoholic options.
At Circle of Seven Ranch, our BYOB policy gives couples the flexibility to create a wedding bar that feels personal to them while our bartending requirements help ensure alcohol is served professionally and responsibly. For couples searching for a Houston-area wedding venue that allows BYOB, Circle of Seven Ranch offers the flexibility to create a bar that fits your wedding, your guests, and your budget.
